Who We Are

Roamsmith is a family transition coaching service operated as a self-employed activity (trabajador autónomo) based in Valencia, Spain. For questions about this policy or your data, contact us at privacy@roamsmith.co.

What Data We Collect

We only collect personal information that you provide directly. The data we collect depends on how you interact with us:

Newsletter and quiz signups

Your email address, and optionally your quiz responses and results (Traveler Type Quiz, Family Relocation Readiness Assessment).

Discovery call booking

Your name, email address, and responses to our onboarding questionnaire (transition type, planning stage, main concerns, partner alignment, and information about your children if you choose to provide it).

Client portal

Your name, email address, meeting notes, uploaded files, messages, and accountability items created during your coaching relationship.

Purchases

Your name and email address. All payment card details are handled directly by Stripe and are never stored on our systems.

Why We Collect It

We process your data under the following legal bases (GDPR):

• Consent: for marketing emails when you subscribe to our newsletter or opt in via a quiz or assessment.
• Legitimate interest: for transactional communications such as booking confirmations and onboarding intake.
• Contract performance: for delivering coaching services to active clients.
• Legal obligation: for financial records and invoicing as required by law.

Third-Party Services

We share data with the following services to operate Roamsmith:

• Vercel Analytics & Speed Insights: anonymised usage and performance data, loaded only if you accept analytics cookies.
• Stripe: payment processing. Stripe receives your name and email; card details are handled entirely by Stripe under their own privacy policy.
• Resend: email delivery. Resend processes your email address on our behalf to send transactional and marketing emails.
• Cal.com: scheduling. When you book a discovery call, your name and email are passed to Cal.com for calendar management.

Cookies

We use a small number of cookies, none of which are for advertising:

• roamsmith-consent: stores your analytics cookie preference (accept or decline). Lasts 1 year.
• portal-session: authentication session for the client portal. Secure, HTTP-only. Lasts 30 days.

No third-party advertising or tracking cookies are used on this site. Vercel Analytics scripts are only loaded if you accept analytics cookies via the consent banner.

Data Retention

• Newsletter subscribers: retained until you unsubscribe.
• Onboarding questionnaire responses: retained while you are an active or prospective client; deleted on request.
• Client portal data: retained for the duration of the coaching relationship plus 12 months, then deleted on request.
• Payment records: retained as required by applicable tax law (typically 7 years).

Your Rights

Under the GDPR and similar regulations, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data (“right to be forgotten”).
• Restrict or object to processing.
• Receive your data in a portable format.
• Withdraw consent at any time (this does not affect the lawfulness of processing before withdrawal).

To exercise any of these rights, email privacy@roamsmith.co. We will respond within 30 days.

Data deletion requests

On request we will delete your data from our database and email service (Resend). Stripe transaction records required by law cannot be deleted but will no longer be actively processed.

Children's Privacy

We do not knowingly collect personal data from children under 16. When parents provide information about their children during onboarding (ages, number of kids), this data is collected from the parent, not from the child.

Changes to This Policy

We may update this policy from time to time. The “last updated” date at the top will reflect any changes. Material changes will be communicated via email to active subscribers and clients.
